Ergonomics & Occupational Health and Safety
The Working Conditions Act requires employers to ensure safe and healthy working conditions, and this also applies to screen-based work. On this page, you can read about the associated obligations, how to implement them organizationally, and where the duty of care extends to the home office. This is general information and not legal advice.
Risk Inventory and Evaluation (RI&E)
Every employer is required to conduct an RI&E. In it, you document the risks present in the workplace, the measures needed, and the order in which you implement them. You update the RI&E whenever there are changes in the organization or work processes.
Requirements for the screen workstation
A screen workstation is subject to requirements regarding furniture, lighting, climate, and sound. Desks and chairs must be adjustable to the user; for office chairs, NEN-EN 1335 is the common standard.
Information and instruction
Employees have the right to information and instruction on the proper use of their workstation, and to adjustments when they report complaints. Appointing a prevention officer and collaborating with an occupational health service are also part of these obligations.
Inventory
Map out which employees perform screen-based work, how many hours per day, and at which locations: office, flex-desk, or home. This forms the basis of your RI&E.
Identify bottlenecks
Assess the furniture, lighting, climate, and noise level for each workstation, and register the complaints reported by employees. Record the findings with a clear priority.
Take measures
Translate the bottlenecks into an action plan: adjustable furniture, tools such as monitor arms and footrests, and acoustic measures where necessary. Work with fixed responsibilities and deadlines.
Instruct employees
New furniture only works if it is set up correctly. Provide instruction upon delivery and record that employees have received information. The adjustment steps themselves can be found on the ergonomic work page.
Repeat periodically
Check regularly whether the measures have been implemented and still fit the situation. Update the inventory in the event of a move, company growth, or a changed method of working.
This page provides general information about working conditions for screen-based work. If you are in doubt about your own situation, always consult your occupational health service or prevention officer.
