Moving a department over to sit-stand desks is a different matter in an office park on the edge of the city than on the fourth floor of a building in the centre of Rotterdam or The Hague. The desks are the same; the route to them is not. This article walks through the five steps, with the points that go wrong in a city centre.

Why things go differently in the city

Three things keep coming back. Access: narrow stairs, a lift that a top of 200 cm will not fit into, or no lift at all. Loading and unloading: a delivery time window, a loading bay that is occupied, paid parking for a van. And continuity: in a building that is simply in use, a department cannot sit idle for two days.

All three can be solved, but only if they are known in advance. Mention them when you enquire, and they end up in the planning and in the quotation instead of on the delivery day.

Step 1: measuring up and drawing out

Send us the dimensions of the space and we will make a 2D or 3D floor plan free of charge, usually within three business days. It shows the circulation routes, the acoustics and the ergonomic advice. We can also come and measure up on site.

With sit-stand desks, watch two dimensions that do not stand out on an ordinary floor plan. The first is the clear height above the top: a top that rises to 130 cm must not run into a window sill, a radiator casing or a low-hanging wall cupboard. The second is the space behind the workstation: a desk that goes up pulls on everything attached to it, so the power strip and the network cable have to move with it. That is what cable ducts and cable trays are for, and for the connections in the top there are built-in modules.

Step 2: choosing the series

For a department where different people use the same workstation, what counts most is the adjustment range at the bottom end. The SF 670 starts at 61.5 cm and goes up to 127.5 cm; the Ciao runs from 65 to 130 cm; the Flex 3+ from 64 to 130 cm including the top. The lower the starting point, the better a shorter user sits.

If you place two workstations facing each other, choose a bench on which each top moves separately: the duo Ciao, the duo SF 670, the Flex 3+ bench or the S-Line bench. Otherwise one colleague is forced to stand when the other wants to.

In an open-plan office something usually goes with it: a desk screen between the workstations, and for the sound an acoustic panel or a phone booth for phone calls. And a new desk calls for a chair to match: see NPR 1813 office chairs or the complete workstation sets.

Trial set-up: if it concerns more than ten workstations, ask for one desk in advance. A week of trial running on the department achieves more than a meeting about which model it will be.

Step 3: planning the delivery

Items from stock we deliver and install within 5 to 10 business days of order confirmation. Items made to order have their own lead time, and for project furnishing we agree the schedule per project and set it out in the quotation.

The top determines the lead time more often than the frame. The Ciao and the Actiforce desks are listed as quick to deliver in the webshop. With the Flexaro series we deliver the eight colours of tabletop group 1 in one to two weeks; tabletop groups 2 and 3 are made to order, with a lead time of four to six weeks. If it has to be quick, choose from tabletop group 1.

For larger projects we deliver in phases: floor by floor, department by department or room by room. That way the rest of the office stays in use while one part is being converted. We plan the delivery date with you after the order confirmation and keep you informed of progress.

Step 4: installation

The installation is done by our own fitters, not by a hired-in party. We schedule the installation day with you in advance, so that your organisation stands still as little as possible.

If the furniture does not fit through the stairwell or into the lift, we use furniture hoists or winch it in via windows or balconies. For secured locations, such as government premises in The Hague, our fitters can be screened. After the installation we walk through it together with you, remove the packaging material and take the old furniture away if that has been agreed.

Step 5: setting up and explaining

This is the step that is most often skipped, and it is where the return lies. A sit-stand desk that stays at one height is an expensive ordinary desk. Two things help: memory presets and a short explanation.

The Ciao has a memory module with three presets, the Flex 3+ and the S-Line a memory unit with four. On the day of handover, have everyone store their sitting and standing height; after that switching is one press of a button instead of a search.

Frequently asked questions

When does the installation take place?

On business days during office hours, by our own installation staff. We schedule the installation day with you in advance and set that arrangement out in the quotation, so that your department is out of action for as short a time as possible.

What if the furniture does not fit through the stairwell?

Then we use a furniture hoist or winch the furniture in via a window or balcony. Mention narrow stairs, small lifts or a high floor when you enquire, and we take it into account in the planning.

Can you deliver in phases?

For large projects, yes: floor by floor, department by department or room by room. That way the rest of the office stays in use during the fit-out.

Which desks are the quickest to deliver?

The Ciao and the Actiforce desks SF 370 and SF 670 are listed as quick to deliver in the webshop; from stock we deliver and install within 5 to 10 business days. With the Flexaro series it depends on the tabletop colour: tabletop group 1 takes one to two weeks, tabletop groups 2 and 3 four to six weeks.
